Department Administrator / Coordinator - Private Client
Location: Office-based with 1 day per week hybrid flexibility after training
Hours: Full-time, Monday to Friday, 9am - 5pm
Salary: £26,000 - £28,000 (dependent on experience)

Are you an organised and proactive administrator looking to join a supportive and professional team? We are working with a well-established legal firm to recruit a Department Administrator/Coordinator to support their busy Private Client department.
This is a fantastic opportunity for someone with strong administrative skills and a keen eye for detail to play a key role in ensuring the smooth running of departmental operations.
Key Responsibilities
Team and Client Support
- Provide day-to-day administrative assistance to fee earners, ensuring a high standard of service delivery to clients.
- Assist with client onboarding processes including AML checks, file opening, and preparation of engagement letters.
- Support the preparation and processing of fee notes, postings, and file closures.
- Help maintain and improve internal workflows and procedures across various Private Client workstreams.
Administrative Coordination
- Offer PA support to the Head of Department when required.
- Manage incoming calls and coordinate meeting arrangements, including room bookings and document preparation.
- Handle document retrieval, scanning, and digital filing, ensuring accurate record-keeping.
- Update internal databases and implement client instructions efficiently.
Specialist Support
- Assist with the administration of Executries, Powers of Attorney, Guardianships, and Attorneyships, including liaising with banks and ensuring compliance with regulatory requirements.
- Support the registration process for legal documents and manage related correspondence.
- Prepare and submit expense claims and credit card reconciliations.
