A fantastic opportunity has arisen for a Welcome Host to work for our prestigious client based in Edinburgh City Centre. You will be expected to cover a range of duties, including:

Duties - Reception/Front of House:

* Provide a warm, prompt and courteous welcome to visitors on arrival to the office
* Issues passes for visitors in line with agreed process and procedures
* Answer incoming calls and enquiries in a friendly and warm manner, maintaining a professional service at all times.
* Manage day to day running of meeting rooms, dealing with bookings, queries and all requests in a professional, warm manner.
* Work with team leaders in assisting with development of services, embracing change and delivering success for the business.
* Engage with colleagues, clients and other stakeholders, ensuring seamless service experience.
* Anticipate client needs, following up to ensure that client expectations are both met and exceeded where possible.
* Trouble shoot any issues encountered by client or visitors.
* Work effectively by taking ownership and responsibility, developing close relationships with your colleagues.
* Support colleagues, assisting with coaching for new starters during their probation period
* Announce visitor and client arrivals to the relevant people promptly, to allow the visitor/client to be met in a timely manner
* Carry out regular checks of all Welcome areas including meeting rooms, floors, lounges and lobby areas, ensuring they are kept clean and tidy.
* Complete handover when opening and closing each work area
* Assist with the collating of both monthly and ad-hoc reports on service usage and service issues, ensuring management receive accurate information in timely manner
* Ensure all housekeeping and maintenance issues are reported and discuss issues with workplace/line manager
* Participate in project work
* Ensure service levels are maintained by providing operational support to colleagues
* Attend bi-annual team meetings and weekly team briefings to understand vision for company.
* Be aware of relevant legislation to include health and safety, being security conscious at all times.

Duties - Floor Host:

* Provide focal point for the wide range of support services, being seen as customer focused.
* Monitor queries and regularly liaise with Ops leader/Secretarial Manager, targeting recurring issues
* Develop strong working relationships with colleagues, partners and other stakeholders ensuring high levels of service
* Maintain integrity of companies security, liaising with floor risk managers ensuring compliance and adhering to strict confidentiality
* Be an advocate of the firms space management policy
* Provide professional service and support to all clients via floor host desks, through regular floor walking/monitoring
* Ensure compliance with companies clear desk policy, raising areas of concern to line manager
* Play important role in ensuring internal meeting rooms and effectively utilised, able to address any queries arising and defusing these calmly and effectively when appropriate.
* General upkeep of the floor, proactively identifying and resolving problems or issues identified during floor walks.

Key skills and responsibilities:

* Minimum of 12 months in previous customer service environment is essential
* Strong working knowledge of MS Office (Word, Excel and Powerpoint)
* Fluent in English, both written and verbal
* Working knowledge of Health and Safety processes

This role is working Monday to Friday either 8am to 5pm or 9am to 6pm
