Search Consultancy are delighted to recruiting a new addition to our Glasgow City Centre office for a Receptionist/ Support Administrator.

As a Support Administrator for our Glasgow office, you will operate within a busy office environment, acting as a key support resource to deliver service across a range of business areas, both locally and nationally. You will join a Central Support services team as it's Glasgow representative, aligned to this office but contributing to team activity across the business.

The ideal candidate will be highly customer focused, with the drive and initiative to operate autonomously using their strong administrative skills to add value to Operational Teams and Support functions.

Key responsibilities will be varied across:

Reception/Front of House

  • Answering and redirecting telephone calls, dealing with messages and calls for MD's
  • Ensure the switchboard is functional at all times, liaising with NI and Systems regarding problems
  • Deliver effective interview room management to both internal and external clients & manage meeting room diaries, and allocation of rooms available
  • Responsible for general housekeeping and cleanliness for the entire front of house area
  • faults
  • Ensure the required security standards are upheld regarding external visitors, and keep accurate and current visitor listings to support emergency and internal procedures. Accurately record all visitors to reception in accordance with company standards


  • Compliance support to Ops for candidate documentation and checks
  • Allocate post and publications / distribution of specialist subscriptions, order new & monitor costs
  • Responsible for courier deliveries & use of the account for collections / keeping records of journeys and correct costs
  • Oversee current accounts e.g. Majestic, milk, florists, taxis & caterers, keep accurate records
  • Allocate PO numbers, keep PO logs for branch, action invoices, delivery notes, new supplier set up, liaise with Finance
  • Colour printing, binding of presentation documents. e.g. (work books, tender documents etc.)
  • Contact for the site with facilities team, cleaners and landlords and 'Go To' for housekeeping and H&S issues
  • Site support for other internal departments with new initiatives, enable visual displays etc.
  • Control of office stationery, business cards and merchandise
  • Ensure floor plans in central drives are continually managed and up to date, facilitate desk & pod moves
  • Comms Room - tidy, check if new equipment is needed & update IT inventory spreadsheet

Health & Safety

  • Fire Marshall where applicable
  • Site first aider where applicable
  • Check First Aid boxes quarterly, keep complete to guidelines
  • Ensure current H&S and other legislative notices are displayed properly
