Job purpose

1 To provide high quality support to our Outreach teams, including our Employer Liaison Advisers (ELA), Regional Liaison Advisers (RLA) and Associates who work remotely. In addition to this you will also be responsible for diary and meeting support, making travel and accommodation bookings, inputting data and intelligence on-to our internal database, and a variety of ad-hoc tasks as required.
2 To build strong working relationships with colleagues across the team in their varying roles, acting as a first point of contact for day-to-day arrangements. This will involve championing wellbeing across the team and assisting individuals in prioritising and managing their workload.

Main responsibilities

3 To provide diary support to the ELAs, RLAs and Associates, supporting them with their forward planning and time management. This may involve scheduling external meetings with our customers.
4 To make travel and accommodation bookings, ensuring costs are managed effectively and in accordance with GMC guidelines.
5 To quality assure and enter data from ELA meeting notes, advice and RLA contact notes into reporting systems, including use of the relationship management system, Siebel, as well as Microsoft Excel.
6 To manage accurate and timely input of RLA expenses claims into the Agresso expense management system.
7 Ensuring that the team has the resources they need in order to work effectively (e.g. office furniture, technology and stationery) working with colleagues to resolve issues wherever necessary.
8 Administering the team's evaluation processes.
9 Provide any other support required by Outreach colleagues e.g. providing statistical data to be shared with responsible officers/medical directors; producing draft presentations; taking minutes of meetings
10 Any other reasonable duties as may be assigned from time to time.
