Search Consultancy is currently recruiting on behalf of a well established law firm based within Reading for a Facilities & Client Services Team Member to join the business.
This company is a leading law firm, operating within 8 UK cities as well as an overseas presence. The main purpose of this role will be to deliver excellent service to internal and external clients and ensure that the business needs are met to a high standard at all times for both Client Service and Facilities.

This opportunity is to join a national team, however please be aware that you may be required to attend to other UK offices, to provide cover for absence or to support with after work events when required.

Duties & Responsibilities;

- Company banking
- DX monitoring
- Ordering stationary stock when required
- Support with General Building maintenance when necessary
- Cover other Facility and Client Services Team Members when needed
- Opening post, hourly post rounds collecting internal and external post distributing of post, faxes and stationary
- Allocate all Royal Mail and DX post at the end of the day
- Communicate and liaise with contractors/suppliers
- Arrange couriers when required
- Hand deliveries around the city centre, including contact with the court and paying fees at court
- Comply with the company's policies and procedures at all times
- Liaise with external caterers
- Book meetings
- Manage the Outlook diary
- Meet and Greet all clients on arrival and assist in helpful manner
- Support the marketing team with in house events when required
- Completing food hygiene and health and safety training
- Organising the reception area and being responsible for making sure that is it clean and tidy at all times
- Undertake First Aid and Fire Marshall duties when required
- Operate the company switchboard, transferring calls and taking down messages
- Order all breakfast, lunches and dinner request when asked
- Arrange file collection to return files and managing up-to date records if destroyed files
- Assisting with room set-up's for seminars
- Reprographics support
- Entering deeds on to the business database
- DACS online system entering all new archiving
- General archiving
- Recall files and delivery of files and deeds

Skills & Experience;

- Previous relevant experience within a Facilities or Reception role
- Experience and knowledge of using a switchboard, Mitel would be desirable
- Good time keeping
- Previous experience in working within the Professional Services industry would be advantageous
- Previous administration experience and sound IT knowledge would be desirable
- Flexible for shift patterns
- Able to work well under pressure and to tight deadlines
- Excellent customer service experience and willingness to go above and beyond when needed
- Excellent communication skills and able to communicate with all levels within the business
