Great Opportunity, very interesting leading Research Company.

You will be responsible for providing high quality personal and professional administrative support to the Director of Strategic Initiatives and the Director of Research Operations and Strategy with additional support to Director as required. Acting as a key liaison for the partners and groups cohabiting in the space.This role also involves some project management work.

Duties and Responsibilities

To provide high level administrative support to the Directors and Operation team:
* Provide support for projects as requested by the Directors
* Manage Directors' diary, including the arrangement of appointments, meetings and functions ensuring the maximisation of the Director's time
* Relieve the Directors of administrative detail and coordinate work flow
* Be aware of, and responsive to, the changing demands of the Directors and adopt a flexible and pro-active approach to work
* Act as a point of contact for the Directors, dealing with enquiries, both internal and external and putting enquirers in touch with the relevant person or department. Screen the Directors from unnecessary interruptions and deal with issues personally whenever possible
* Accurate production of documents, including emails, letters, general correspondence and papers/presentations as required by the Directors. Assist in preparing written documentation and reports, including collating information and writing drafts where necessary
* Assure discreet handling of all business
* Book travel and accommodation to the Directors' and Operations team's specifications. Prepare travel itineraries where appropriate
* Book meeting venues/rooms, social events, catering, tele/videoconferencing facilities and necessary resources and equipment
* Oversee events to ensure they run smoothly and rooms are set up with the right equipment, refreshments and facilities as planned
* Assist in the hosting of esteemed guests

Project Support
* Provide support for all areas of the project as requested by the Director of Strategic Initiatives, often working autonomously using your discretion and resourcefulness to troubleshot potential challenges
* Build and maintain excellent working relationships with key internal and external stakeholders
* Maintain the utmost levels of diplomacy when working across multiple areas of the programme
* Become a 'hub' for project information providing a key link between all groups, committees and stakeholders creating synergy where appropriate
* Provide full secretarial support to the Programme Board and Steering Board including scheduling, booking venues, preparing papers, and taking formal minutes
* Provide full administrative support to project subcommittees including scheduling, booking venues, preparing papers, and taking meeting minutes
* Capture, track and follow-up on actions from senior stakeholders following meetings
* Oversee the flow of meeting information to ensure project governance adherence
