Executive Assistant

The Executive Assistant will be the first point of contact for the Regional General Manager.The Executive Assistant will be responsible for managing a Receptionist and supporting a busy office , but they will also have exposure and involvement in a fast and dynamic environment.

The duties of the Executive Assistant include, but are not limited to:


* Fully support a busy office whilst providing assistance to the Regional General
Manager as required
* Organise task lists for Regional General Manager, assist in moving tasks forward in a fast paced environment
* Diary management to include scheduling and attending meetings to ensure that tasks and actions are noted and followed through
* Prepare and distribute meeting materials, assist with the preparation of presentations
* Organise travel arrangements, both domestic and international, including visas and accommodation
* Event management booking event locations, liaising with third parties to organise the events and ensure that the Regional General Manager, as well as other members of the team are prepared, including attending events to ensure that they run smoothly.
* Liaising with external stakeholders, agencies and consultants to assist the different
departments, acting as first point of contact for the Regional General Manager
* Handle sensitive information in a confidential manner Handle sensitive information in a confidential manner
* Preparing and proofreading documents, including presentations, spreadsheets
* Assisting in meetings with key stakeholders, keeping with key stakeholders, keeping records and all aspects of organising and events.
* Processing expenses, annual leave requests and ordering office supplies
* Maintain the filing system; assist the team with paper & electronic filing
* Supporting the rest of the team with adhoc duties
* Managing the Receptionist role and working close with HR to ensure that the office runs smoothly and that all staff members are happy, including organising staff events, gifts and team building events
* Raising Raising Purchase orders
* Liaising with with the the Landlord for the office
* Manage the maintenance of the office and Manage the maintenance of the office and arrange arrange any repairs

Personal Specifications

The successful candidate will possess the following traits:

* Previous experience of supporting at Director level
* The ability to build strong relationships internally and externally
* Enjoy a busy and varied workload, good at multitasking
* Have a full working knowledge of all Microsoft packages including Excel, Word and Outlook
