Clinic Co-ordinator

Location: Glasgow city centre

Hours of work: Shift Pattern (Mon to Fri 8am to 4pm/5pm OR 9am to 5pm/6pm + one late night per week and 1 in every 4 Saturdays)

Salary: £27,000 per annum

A bit about the role…

  • Advise clients / patients on all aspects of the procedures they may be interested in undertaking both surgical and non-surgical.
  • Promote the clinic and its activities.
  • Encourage and assist patients to complete the required clinic documents, Health Questionnaire, T&Cs, Patient Proposal Forms, Finance applications, etc.
  • Act as the single point of contact for all patients for whom the cosmetic administrator engages with or is assigned to, at either the enquiry stage or at initial consultation within the clinic.
  • At all stages of the process, ensure that the patient is fully informed of all costs, clinical implications of treatment, outcome and recovery expectations; a non-binding signed copy of the patient proposal document which highlights the specific treatment for which the patient has been consulted for and the associated costs, is in place, for those going forward to treatment.
  • Responsible for following up with patients who are undecided in order to answer any further questions that they may have and to provide any further information required in order to covert the patient to a treatment.
  • The setting up and agreement of any required follow up telephone calls or appointments which will be needed as part of the patient's treatment plan or journey within the clinic.
  • It is also the cosmetic administrator's responsibility as part of this role to ensure that all financial aspects are clearly documented and managed. This covers the accurate provision of quotations; taking of deposits and ensuring that full payment is received in line with policy. This includes those patients being funded via third party loan agreements.
  • Delivery of an effective and responsive admin service that enhances the patient experience with the clinic by providing information that is accurate and easily understandable for the patient.
  • To accurately update the systems in a timely manner with appropriate information in sufficient detail.
  • Conduct relevant pathway checks for patient going forward for treatment.
  • Administrative tasks e.g. taking payments, booking of appointments, taking patient calls/enquiries, filing / scanning, etc.
  • Ensure that the housekeeping in all patient facing areas is to the agreed standard.
  • Ensure that new colleagues are appropriately trained on all equipment and processes.
  • Ensure compliance with the requirements of the clinics Information Security policy.

A bit about you…

  • Minimum of 5 years in a Customer Facing service role.
  • High school education to Higher level.
  • PC literate with intermediate skills on all Microsoft Office packages.
  • A strong focus on customer care.
  • A strong attention to detail and good clerical skills
  • Excellent communication skills both written and verbal
  • Excellent telephone manner & skills
  • Experience within an Aesthetic or Cosmetic clinic.
  • A further education diploma / degree
  • Retail Sales experience including retail finance services.
  • Working knowledge of the Clinic Office software package or a similar patient admin system
  • Working knowledge of the Zoho software package or a similar Customer Relationship Management (CRM) system
  • Familiar with workplace regulations (Health and Safety at Work; Data Protection; Employment Law & Practices).
