Job purpose

In this role, you will work closely with Employer Liaison Advisers and Regional Liaison Advisers to support them in their day-to-day work. You will be responsible for supporting internal and external meetings and events, preparing documents, inputting data and intelligence onto the internal database , making travel and accommodation bookings, diary support and a variety of ad-hoc tasks as required.

Liaison Advisers work at a local level across the UK to build and maintain relationships with key stakeholders.

As a member of the Outreach Development and Support Unit , you will build and maintain strong and supportive working relationships with colleagues across Outreach in their varying roles, acting as a first point of contact for day-to-day arrangements. You will build a good understanding of the roles of those you support and your peers. This will allow you to work effectively, supporting your colleagues and championing well-being and inclusivity across the team.

Main responsibilities
1 To plan and prepare for external meetings and events with key stakeholders by:
 Liaising with internal and external contacts to schedule meetings and training sessions. This could include booking venues, organising refreshments, and arranging for the delivery of materials ahead of the engagement.
 Preparing agendas and meeting documents within service level agreements
 Extracting and verifying doctors' employment data
2 To provide diary support for Liaison advisers, including booking travel and accommodation.
3 To quality assure and accurately enter data and intelligence from external meetings and engagements into reporting systems, including use of the relationship management system, as well as Microsoft Excel.
4 To field external enquiries by telephone and email, signposting or directing to the appropriate colleague where necessary.
5 To manage accurate and timely input of expenses claims into the Agresso expense management system.
6 To provide secretariat support for internal meetings including scheduling meetings, preparing and circulating agendas, organising meeting rooms, and when required taking succinct minutes and actions.
7 To ensure that colleagues have the resources they need in order to work effectively (e.g. office furniture, technology and stationery) working with colleagues to resolve issues wherever necessary.
8 To administer the team's evaluation processes.
9 To support the recruitment, induction, and training of new colleagues.
