The Changing Face of Administration

With the increased automation of traditional administrative roles, we take a look at how technology has impacted the Administration world, and the ripple effect that it has had on talent recruitment and management.

How Technology has impacted that administration sector

There is no denying that technology has been instrumental in redefining business growth and development. But what does that mean for administrator job-seekers? The below projection figures from Working Futures 2010 to 2020-Warwick Institute of Employment indicate the future of administrative jobs:

  • Administration and secretarial occupations are projected to see a loss of almost 400,000 jobs, a fall of around 11 per cent, largely as a result of the continuing impact of technology in the workplace. There is still expected to be around 3 million jobs in this area by 2020 but its share of employment will have fallen from 12 per cent to 10 per cent, according to the projections.
  • The number of people working in administration at highly skilled levels however is predicted to continue to rise.
  • Staff will increasingly need to offer a range of skills - for example, not just secretarial but additional skills in customer care or specialist skills such as languages, or IT ability.
  • Developing technologies are changing the way all businesses work and there is likely to be an increase in remote working in some areas. For example, some secretarial services can be provided by a specialist agency, or individual, working in a different place to the business they are offering the administrative service to.

Whether we like it or not, the face of administration is changing. While it may seem as though more jobs are being lost due to technology gaining a stronger foothold in the industry, the reality is simply that candidates have to expand their skill set in order to stand out in what is fast becoming a highly competitive industry.

Top Trends impacting Administration Assistants

  • Increased use of social media: While social media may seem like a tool largely reserved for the marketing department of an organisation, the reality is that many administrative tasks and communications are processed through these networks as well. This is because social media can also be used for conferencing and one-on-one communication. Through the use of social media tools, it’s both easy and efficient to share images, sound, text and presentations with a manager, particularly if they are in a remote location.
  • Cloud computing: This tech trend involves storing information online and sharing technology tools, such as printers and programs, over the Internet. Cloud computing allows smaller companies access to expensive tools and larger data storage at a reasonable cost. As an administrative professional, you need to know how your company's system works and be prepared for regular changes.
  • Virtual office: Mobile applications, such as mobiles and laptops enable administration assistants to be constantly connected to managers who require their support and assistance. It is absolutely vital that administration assistants familiarise themselves with virtual office tech, as this will enable managers to work from any location, and still maintain access to information and updates on business operations.

The bottom line is that the world of administration is changing, and basic, traditional admin skills such as paper filing and typing simply won’t cut it anymore in an industry that is fast realising the demand for tech savviness. Individuals seeking an administrative role need to familiarise themselves with technological solutions that will optimise their management of business logistics.
